When you add a task and choose Daily, Weekly, or Monthly recurrence, it shows up automatically on those days in your Calendar view.

Daily tasks appear on every single day of the calendar. Perfect for things like "Check emails" or "Post to social media."

Weekly tasks repeat on the same day of the week as the due date you set. So if you set it for a Tuesday, it shows every Tuesday.

Click My Lists in the sidebar. You’ll see five starter lists already there: 🛒 Grocery Shopping, 🏠 Home, ❤️ Personal, 🚗 Errands, and ⭐ Custom.

Click any list tab across the top to switch to that list. The tab shows how many items are done out of the total so you can see your progress at a glance.

To add an item, type the name in the Add an item... field, choose a date and whether it’s one-time, daily, weekly, or monthly, then click + Add or press Enter.

Click the checkbox on any item to mark it done. It’ll stay in the list with a strikethrough so you can see what you’ve accomplished. Use Clear Completed at the top to tidy up when you’re ready.

Hover over any item to see the 🔔 bell and 🗑 delete buttons. Click the bell to set a full reminder — just like you would on a regular task.

To create your own list, click + New List at the top right. Give it a name and pick an icon, then click Create List. Your new list appears as a tab right away.

To remove a list entirely, switch to it and click the 🗑 Delete List button in the top right of the list. This removes the list and all its items permanently.
💡 Tip: Use the Grocery Shopping list before every store run — check things off as you go and use Clear Completed when you’re done so it’s fresh for next time!

Click Templates in the sidebar to see the library of ready-made task sets.

Browse the cards — each one is designed for a specific type of online business work. Click a card to open the preview.

Inside the preview you can rename tasks using the ✏️ button, change the recurrence with the dropdown, or remove tasks you don’t need with 🗑.

To set a reminder on any task before you load it, click the 🔔 bell button on that task row. A panel will open where you choose when to be reminded and how (Email, Push Notification, or Both). Click Save Reminder ✅ — the bell turns green so you know it’s set.

You can set a reminder on as many or as few tasks as you like — each one is set individually. If you change your mind, click Remove in the reminder panel to clear it.

When you’re ready, click Load into My Tasks →. All the tasks are added to your list at once, and any reminders you set are created automatically at the same time. The confirmation message will tell you how many tasks and how many reminders were added.

Go to My Tasks to see everything, then edit any task to customize the name, date, or details for your situation.

Add an optional note to remind yourself of any extra details, then click Set Reminder.

To dismiss a reminder, click the ✕ button on the right side of it in the Reminders list.

💡 Tip: Think of projects as big goals or campaigns. Tasks are the individual steps you take to reach that goal. Keeping them organized this way makes it much easier to see your progress!

From the Projects board, click anywhere on a project card to open it. You'll see the project detail view with all its tasks listed below.

Click the + Add Task button. A task form will slide open at the top of the project.

Fill in the Task Name — this is the only required field. Be specific so you know exactly what needs to be done.

Choose a Category for the task — this is what makes the filter pills appear (see below). Pick the one that best fits what kind of work this is.

Set the Recurrence (One-time, Daily, Weekly, or Monthly), Priority (Normal or Urgent), and a Due Date.

Add any Notes if there are details, links, or reminders you want attached to this task.

Click + Add and the task appears in the project list instantly. Repeat for as many tasks as you need.
💡 Tip: Tasks you add inside a project also show up in your main My Tasks list — so you never have to look in two places. Everything stays in sync automatically.

When you open a project, you'll see a Filter by Category section. This only appears once your project has tasks with categories assigned.

The colored pill buttons that appear there are built automatically based on the categories of the tasks inside that specific project. They are not manually added — they show up on their own!

For example: if your project has three Social Media tasks and two Affiliate tasks, you'll see an All pill, a 📱 Social Media pill, and a 💰 Affiliate pill — nothing more, nothing less.

Click any pill to filter the task list to show only that category. Click All to see everything again.

As you add more tasks with different categories, new pills appear automatically. You don't need to set them up yourself — the app does it for you.
💡 Tip: This is a great way to focus. If you're in a big project with lots of tasks, just click the category you're working on right now and everything else hides so you can concentrate.

Click the circle on the left of any task to mark it complete. It will fill in with a teal checkmark and the task will appear struck through.

The progress bar at the top of the project card updates automatically as you check things off — so you can see at a glance how far along you are.

To delete a task, click the 🗑 trash icon on the right side of the task row.

To delete an entire project and all its tasks, click the Delete Project button inside the project detail view. You'll be asked to confirm before anything is removed.
💡 Tip: Completed tasks stay visible so you can see what you've accomplished. Use the filter pills to show only incomplete tasks if the list gets long.

Open a project and find the task you want to break down into smaller steps.

At the bottom of that task row, you'll see an Add subtask… field and a date picker next to it.

Type the subtask name — for example, if your main task is "Launch Email Campaign," a subtask might be "Write subject line" or "Design banner image."

Optionally set a due date for the subtask, then click + Add.

Subtasks appear indented under the main task. Click their small circle to check them off one by one.

The main task row shows a ☑ 2/4 style counter so you can see subtask progress without opening anything.
💡 Tip: Subtasks are perfect for breaking a big intimidating task into bite-sized pieces. Checking them off one at a time feels great and keeps you moving forward!

You can connect your calendar from two places: click ⚙️ Settings in the sidebar bottom and scroll to the calendar section — or click Team and scroll to the bottom of that page. Either way gets you there!

You'll see three calendar options: Google Calendar, Microsoft Outlook, and Apple Calendar. Choose the one you use every day.

Click the calendar option card. It will show Connected with a teal border to confirm it's linked.

Once connected, your tasks and due dates from Tasks Manager will sync over so they show up right alongside your meetings and appointments.

To disconnect a calendar, simply click the connected card again and it will toggle back to Not Connected.
💡 Tip: Each team member connects their own calendar independently — so everyone on your team can use a different calendar app if needed.

Google Calendar — Choose this if you use Gmail or any Google Workspace account. This is the most common choice for online business owners and entrepreneurs.

💡 Tip: You don't have to connect a calendar to use Tasks Manager — it's optional. But connecting one means your tasks show up alongside your appointments so nothing slips through the cracks.

The Calendar view (in the sidebar) is Tasks Manager's own built-in monthly calendar. It shows all your tasks laid out by due date so you can see your workload at a glance — but it only shows Tasks Manager tasks, not your personal appointments.

A Connected Calendar (Google, Outlook, Apple) is your personal or work calendar where you already have meetings, events, and appointments. Connecting it means your Tasks Manager tasks flow into that calendar too.

Think of it this way — the Calendar view is for managing your tasks. The Connected Calendar is for seeing everything — tasks AND life — in one place.

The Dashboard is your home base — it loads automatically when you log in. Click 🏠 Dashboard in the sidebar anytime to return to it.

The Daily Faith Boost card at the top shows a scripture verse and an encouraging message to start your day. Click the 🔄 refresh button to cycle to a new verse anytime.

The Weekly Focus Goal card lets you set one big priority for the week. Click + Set My Focus Goal, type your goal, add a "why it matters" note if you like, and save. You can jot a quick progress note below the goal as the week goes on.

The Wins Journal card is your personal celebration space. Click + Log a Win to record any accomplishment — big or small. Choose a category (Faith, Business, Income, etc.) and add details. Your most recent wins show in the card; click View all wins to see your full history.

The stat row below the Wins Journal shows today's task count, how many are completed, your total task count, and how many are recurring — updating live as you work.

The Today's Tasks list at the bottom shows every task due today. Click the circle next to any task to mark it done right from the Dashboard without going to My Tasks.

Click 📊 Progress in the left sidebar to open your Progress Dashboard. This is your productivity snapshot — everything calculated live from your real tasks.

The four stat cards at the top show: how many tasks you've completed all-time, how many are still open, your current day streak (days in a row with at least one completed task), and how many tasks you've completed this week.

The Overall Completion ring is an animated circle that fills up based on how many of your total tasks are done. The percentage and numbers update live.

The This Week vs Last Week bar chart compares how many tasks you completed this week against last week. A trend message below tells you if you're up, down, or holding steady.

Click Calendar in the sidebar to open the monthly calendar view.

Find a task pill on any day. If the task is a one-time task, your cursor will change to a grab hand when you hover over it — that means it's draggable.

Click and hold the task pill, then drag it to any other day on the calendar. The destination day will highlight with a teal dashed border to show it's a valid drop zone.

Release the pill over the new day. The task date updates instantly, the calendar refreshes, and a confirmation message appears at the bottom of the screen.

Recurring tasks (Daily, Weekly, Monthly) cannot be dragged to a new date — they repeat on a schedule. If you try, a message will explain this and suggest editing the task instead.

To edit a recurring task's schedule, hover over it in My Tasks and click the ✏️ pencil button to open the edit window and change its date or recurrence setting.
💡 Tip: Dragging is the fastest way to move a task when plans change. No need to open any menu — just grab it and drop it where it needs to go!

On the Calendar, click any day cell (not a task pill — click the empty space of the day) to open the Day Detail modal.

The modal shows a full list of every task and subtask scheduled for that day, including recurring ones.

The Notifications section lets you turn email and push notification alerts on or off globally. Individual task reminders are still set per task in the Reminders section.

The Calendar Integration section is where you connect Google Calendar, Outlook, or Apple Calendar. See the How to Connect Your Calendar section above for full instructions.

The Data section lets you export your tasks or reset your account data. Use reset only if you want to start completely fresh — it cannot be undone.
💡 Tip: Visit Settings once when you first set up the app to connect your calendar and confirm your notifications are turned on — then you probably won't need to go back often!

Look for the floating + button in the bottom-right corner of the screen — it's always there no matter what page you're on inside the app.

Click it and a Quick Capture panel slides up from the bottom. Type your task name in the big input field — this is the only required field.

Optionally choose a Category, Priority (Normal or Urgent), and a Due Date from the row of options below the text field.

Press Enter on your keyboard or click Save Task ✓. The task is added instantly to your list and the panel closes.

Click anywhere outside the panel or press Escape to close it without saving.
💡 Tip: Quick Capture is perfect for those moments when a thought pops into your head mid-task. Tap it, type it, save it — and get right back to what you were doing without losing your place!

Click the 🔍 magnifying glass button in the top bar of the app (next to the moon icon) to open the search overlay.

Start typing — search results appear instantly as you type. It searches across your tasks, projects, and notes all at the same time.

Each result shows an icon so you know what type it is (✅ task, 📁 project, 📝 note), the title, and a short preview.

Click any result to jump directly to that section of the app. The search overlay closes automatically.

Press Escape or click outside the search box to close it without navigating anywhere.
💡 Tip: Search is the fastest way to find anything once your app has a lot of data. Instead of scrolling through lists, just type a keyword and go straight there!

Click the 🌙 moon button in the top bar of the app to switch to dark mode instantly. The whole app switches to a warm dark theme.

Click the same button again (it will now show ☀️) to switch back to light mode.

You can also toggle dark mode from ⚙️ Settings — scroll down to the Dark Mode card and flip the switch there.

Your preference is saved automatically — so if you turn on dark mode, it will still be on the next time you open the app.
💡 Tip: Dark mode is especially easy on the eyes for late-night planning sessions. Give it a try if you ever find yourself working after sunset!

Click ⏱️ Focus Timer in the sidebar under Main to open the timer.

Choose your mode at the top: 🎯 Focus (default 25 min), ☕ Short Break (5 min), or 🌿 Long Break (15 min). The ring and color change to match each mode.

Optionally type what you're working on in the "What are you focusing on?" field — this shows in the timer bar at the bottom so you always remember your focus.

Click the big ▶ Play button to start. The ring drains as time passes. Use ⏸ Pause to stop temporarily, ↺ Reset to start over, or ⏭ Skip to end the session early.

When a focus session ends, a chime sounds and a celebration toast appears. The timer automatically switches to Short Break mode so you can rest.

A persistent timer bar appears at the bottom of the screen the moment you start — visible on every page so you never lose track of your timer even while working elsewhere in the app.

Use the Custom Durations section at the bottom to change Focus, Short Break, and Long Break lengths to whatever works best for you. Changes apply immediately.

The Sessions Today and Mins Focused counters track your productivity for the day and reset automatically each morning.
💡 Tip: The classic Pomodoro method is 25 minutes focused, 5 minute short break, and a 15 minute long break after every 4 sessions. Try it for a week — most people are amazed how much more they get done!

Click + New Note in the top right to open the note editor. The editor slides open at the top of the page.

Type a title for your note — something like "Content ideas" or "Prayer journal" or "Week 3 plan." It doesn't have to be formal — write like you're talking to yourself.

Write your note in the big text area below. No limits — brain dump, bullet points, paragraphs, whatever works for you.

Choose a Category from the dropdown: General, Faith, Business, Ideas, Personal, or School. This helps you spot notes at a glance by their colored badge.

Click Save Note. Your note appears as a card in the list below, showing the title, a short preview of the content, the category badge, and the date.

To edit a note, just click its card. The editor opens with all your content ready to update. Click Save Note again when done.

To delete a note, open it by clicking its card and then click the red 🗑 Delete button that appears in the bottom right of the editor. You'll be asked to confirm before it's removed.
💡 Tip: Notes are searchable! Use the 🔍 Global Search to find any note by typing a word from its title or content — super handy when your notes list grows.

Click 📋 Weekly Review in the sidebar under Main. The date range for the current week shows at the top so you always know which week you're reviewing.

Step 1 — Wins: In the first box, write down everything you accomplished this week — big or small. Don't skip this step. Celebrating progress is what keeps you going!

Step 2 — Carryover: The app automatically pulls in any incomplete one-time tasks that were due this week or earlier, so you can see exactly what's carrying forward. Add any extras in the text box below the list.

Step 3 — Next Week's Focus: Type your single most important priority for next week. One clear goal beats ten vague ones every time.

Step 4 — Lessons: Write down anything you learned or want to remember — insights, surprises, things that worked or didn't.

Step 5 — Gratitude: End with what you're grateful for this week. This one habit shifts your whole mindset heading into the next week.

Click 💾 Save Review. Your review is saved and your Step 3 focus goal is automatically copied to your Weekly Focus Goal on the Dashboard. Past reviews appear below so you can look back anytime.
💡 Tip: Do your Weekly Review every Sunday evening or Monday morning. It takes 5 minutes and it's one of the highest-value habits you can build for staying organized and intentional!

Click 🖨️ Print My Tasks to open a clean, printer-friendly page showing all your open and completed tasks. Your browser's print dialog will open — choose your printer or save as PDF.

Click 🖨️ Print Weekly View to open a day-by-day layout of the current week, showing all tasks scheduled for Monday through Sunday. Perfect for printing a paper weekly planner.

Click ⬇️ Export Tasks CSV to download all your tasks as a spreadsheet file you can open in Excel, Google Sheets, or any spreadsheet app. Includes task name, category, project, recurrence, priority, due date, status, and notes.
💡 Tip: The CSV export is a great way to back up your tasks or analyze them in a spreadsheet. The print views are perfect for people who like to have a paper copy of their week on their desk!

A new Student Hub section appears immediately in your sidebar with five tools: 🎓 Grade Tracker, 🔢 GPA Calculator, 📅 Class Schedule, ⏳ Exam Countdown, and 📆 Student Planner.

To turn them off, go back to Settings and flip the toggle to Off. The Student Hub disappears from the sidebar, but your data is still saved — it comes back when you turn it on again.
💡 Tip: Student Tools are hidden by default so they don't clutter the sidebar for non-students. They're there when you need them and out of the way when you don't!

Click + Add Assignment to open the form. Fill in your Class Name and Assignment Name — both are required.

Enter your Grade % (0–100) if you have it. Leave it blank for assignments not yet graded — they'll show as "Pending."

Choose the Type (Assignment, Quiz, Exam, Project, Lab, or Other), add an optional Weight % if your class uses weighted grades, and set the Due/Received Date.

Click Save Grade. Grades are grouped by class automatically. The class card shows a live average score in color — green for A, teal for B, gold for C, red for below that.

To remove a grade, click the 🗑 trash icon on the right side of that grade row.
💡 Tip: Add every assignment as you go — even before you get the grade back. The "Pending" label reminds you what's still being marked, and the average fills in automatically as grades come in!

For each row, type the class name, choose a letter grade from the dropdown (A through F), and enter the number of credit hours for that class.

Your GPA updates instantly as you type — no need to hit calculate. The number is color-coded: green for 3.5+, teal for 3.0+, gold for 2.0+, and red below that.

Try swapping grades in the dropdown to see "what if" scenarios — like "what grade do I need in this class to keep my GPA above 3.0?" Just change the letter and watch the GPA update live.

The grade scale reference card at the bottom shows every letter grade and its GPA point value (A = 4.0, B+ = 3.3, etc.) so you always have it handy.

Click the 🗑 trash icon on any row to remove that class from the calculation.
💡 Tip: Use the "what if" feature before finals week to figure out exactly what score you need to hit your GPA target. It's a game changer for planning your study priorities!

Click Save Class. Your class appears as a colored block in the weekly grid on the correct days, showing the class name, room, and times at a glance.

To remove a class from the schedule, click the small ✕ button in the top-right corner of its colored block on the grid.
💡 Tip: Give each class a different color so you can tell them apart instantly on the grid. Once it's set up, you'll have your whole week visible at a glance — no more checking your school portal!

Click Save. Each exam appears as a card sorted by date, showing a large countdown number on the left — color changes from teal (plenty of time) to gold (7 days or less) to red (3 days or less or today!).

Past exams show a ✓ Done badge so you can see your history without removing them.

The planner shows a full monthly calendar with everything synced in automatically from your Student Hub — your classes, assignments, and exams all appear on their correct dates with no manual entry needed.

At the very top is the Today at a Glance strip — a quick summary of everything happening today, shown as color-coded chips. Teal for classes, red for exams, gold for assignments, brown for tasks.

On the calendar grid, each day shows colored pills for what's happening. Teal = class meeting that day, Red = exam or deadline, Gold = assignment due from your Grade Tracker.

Click any day cell to open a Day Detail modal — a full breakdown of every class, exam, assignment, and task for that day, including class times, rooms, instructors, exam notes, and task status.
